Role of the Clerk

The Village Clerk is a full-time administrative professional responsible for maintaining official municipal records, supporting Village Board operations, administering elections, and serving as a key point of contact for residents. This role ensures compliance with Wisconsin statutes and local ordinances while promoting transparency, efficiency, and excellent public service. The Clerk also oversees utility billing and serves as Deputy Treasurer.

Duties
Specific duties of the Village Clerk include the following:

  • Maintain and organize official records, including ordinances, resolutions, contracts, and meeting minutes.
  • Administer all aspects of village elections, including voter registration, ballot preparation, and poll worker coordination.
  • Prepare agendas, record and transcribe minutes, and distribute materials for Village Board meetings.
  • Issue and track local licenses and permits.
  • Respond to public inquiries and assist residents with document requests and applications.
  • Manage office correspondence, filing systems, and perform clerical tasks such as data entry, scanning, and mail distribution.
  • Oversee quarterly utility billing and assist with financial duties as Deputy Treasurer.
  • Ensure compliance with open records laws and records retention policies.
  • Issuing of municipal licenses as required by local ordinance and state statute including
  • Preserving all contracts, bonds, and oaths of office.
  • Publication of all legal notices, filing and indexing of all proceedings of the Village Board of Trustees.
